DAGSA Board Meeting Minutes

Meeting:             Wednesday, March 18, 2009 at 6:30 PM Penn Township Municipal Bldg

Attendees: Timi Lesperance, Tammy Sheibley, Scott Mutzabaugh, Jim Reed, Mike Humphrey, Kelly Hammaker, Shannon Callaghan, Melanie Fuller, Ron Baker

Absent: Phil Klinger, Bob Armstrong (both excused)

Guests: all available coaches, Judy Parish of Glory Awards

Meeting Discussion Items:

1.       Announcement – Judy Parish from Glory Awards presented the various types of trophies that are available through her newly purchased business. She is hoping to solicit DAGSA’s business. She will work with the organization’s budget and pass any discounts she may receive through her distributor(s).

2.       Minutes Approval -  motion to approve – Tammy Sheibley, second – Shannon Callaghan. Motion carried.

3.       Treasurer’s report – motion to approve – Timi Lesperance, second – Scott Mutzabaugh. Motion carried.

4.       Equipment – 4 sets of catcher’s gear have been purchased and should arrive by the end of the week. Chin straps, a tee, and about 4 bats have also been purchased. Still in need of bats for U14 and U18, an amount for each bat/team needs determined.
New helmets – Ron Baker and Tammy Sheibley have received their helmets. Jim Reed requested one adult and one small. Nancy Lucia requested two small. Chris Stevens requested one adult and one small. There are four adult helmets available, all smalls are requested.

5.       Coaches update – All assistant coaches that are not currently on file, must complete the background check paperwork and submit a copy of their driver’s license to Mike to send to ASA.
There is scheduling room available at the High School. Jason provided the empty available slots with the team practice schedules. All coaches should go through Jason to schedule time on the HS field.
Jason will reassign practice time for the Giants.
League game scheduling will occur on March 30th at 6:30 pm at the Middle School.
Coaches were asked to remind parents of upcoming volunteer dates for field prep, concessions, etc. People are needed on March 26th to peel potatoes for the Chicken BBQ.
Coaches were also reminded about the Senators game fundraiser. Tickets are $6.
Chicken BBQ ticket order money should be sent to Tammy Sheibley, checks should be written to DAGSA. Tammy will submit one check to the Penn Twp Rec Board for all dinners sold by DAGSA.

6.       Player requests-  A request was made by a U18 player to be moved to another team. The Board decided at this point in time, it would hurt the team to move players. If further information is received by DAGSA thats warrant a move, then the Board will revisit the request.

7.       Player Appreciation Day – Jeff Ebersole reserved and confirmed a date for the DAGSA Player Appreciation pool party and picnic for Thursday, June 18th from 7-10pm. It will a private pool party for DAGSA girls. The cost is $175, which includes two lifeguards. We need to pay for two additional life guards, or find parents that are certified lifeguards to volunteer. There is a 100 person limit in the pool at one time. Jeff will check on a rain date. DAGSA will provide remaining concession stand stock (food and beverages, etc). Covered dish items will also be needed from those willing to donate.

8.       Wheatfield Rec Board meeting update: The following dates will not be available for practices/make-up games:
April 23,24,25 – Spring clean up
June 6 – Duncannon Sportsman’s Assoc Fishing Derby
Small field is almost always available, except when picnics are scheduled at the pavilion.
Church league has practice on Mondays.
Football starts August 3rd.
Copy of the our insurance needs to be submitted to Wheatfield for their files.
The restrooms need to be checked and swept at the end of practices and games and kept somewhat clean. Trash from the concession stand MUST be taken to dumpster, NOT placed in the barrels outside of the concession stands.
DAGSA needs to inform Rec Board of when our field days are.

9.       New Business: Mo Matthieu does not wish to sell his freezer to DAGSA. Kelly Hammaker will check on an available upright freezer for about $50. We need the freezer in order to purchase bulk food.
Due to PECO game conflicts, the senior girls will have their pictures taken first.
A member of the board will need to monitor the room where pictures are taken and make sure girls do not bring in food or drinks. The room must be clean at the end of the day. Complaints were received about DAGSA last year.
Jim Reed requested that the U14 teams play last on opening day and have a full 7 inning game, which will count as their first game of the season. The board agreed.
Kelly Hammaker notified the board that the league fee is $55 per team.
Timi sent an email to WHTM to Chuck Rhoads and did not receive a reply.

NEW!!!  ACTION ITEMS:

·     Jason will compile a new practice schedule to include Giants.

·     Mike will purchase bats for U14 and U18. At least 3 bats for each team are needed. A price limit for each bat needs to be determined.

·     Kelly Hammaker will check on upright freezer.

·     Timi Lesperance will contact Wagner and Penn to inform supervisors of field dates. UPDATE- Shawn Fuller is on Wagner’s board and will be there to assist with field day. He will open the equipment room and run the tractor. Timi left a message with Mike Freeman about the dates and needing the concession and bathroom keys.

·     Confirmation on an opening day singer is needed.

·     Mike will email all coaches about volunteer sign-ups so they can remind their parents who signed up for what.
