DAGSA Board Meeting Minutes

Meeting:             Sunday, September 26, 2010 at 6:30 PM Penn Twp Municipal Building

Meeting Discussion Items:

1.     Sponsorships – Discussed and approved a plaque be provided to each business sponsoring a team. The plaque will include a team photo. Sponsorship money will cover the cost of shirts and insurance for each team. Tammy compiled potential donor letters for local businesses. Contact and interest was received for 5 businesses so far.  Outreach will continue. The goal is to obtain 17 team sponsorships so all teams will be covered. The board will communicate through email so efforts will not be duplicated. Jim requested a compiled list be made so board members know who has been contacted. Person-to-person contact was suggested.

2.     Concessions -  James Huey of Huey’s presented the board with a  draft contract with DAGSA and his concession business. Huey’s has 13 food trailers and is fully insured. The food units are self contained and can be fully self-suffiecient if need be. Each trailer runs on 110v electric. If DAGSA can not provide electricity, the units can be run on generators provided by the vendor. No water hook-up is needed. He would prefer that both/all fields have games in play at the same time. DAGSA would receive 25% of all sales from the first $1 sold. After a gross sale of $1700, per each event, DAGSA will start receiving 30% of sales. James would prefer a contract be entered starting January 1st, 2011. Rain dates and make-up games are not a problem. He would prefer that he receive at least two hours notice of date changes.   Motion by Shannon Callaghan to accept James Huey as concession vendor for 2011. Seconded by Jason Urich. Motion passed. Board will make final decision after speaking with Penn and Wagner townships and getting approval to have the vendor at the fields for games and tournaments.

3.     Treasury Report – Motion by Timi Lesperance and second by Phil Klinger to pay Penn Township $1000 for the 2010 season field and concession stand use and $750 to Wagner for the same. Check was disbursed for All-Stars team. Timi will give DAGSA a check to cover candy stock left over.  

4.     Townships: Ron will contact the townships regarding the concession vendor and will ask Wagner about the tractor situation.

5.     All-Stars -  Discussion occurred concerning changing the bylaws to include some rules regarding All-Star teams. Player participation in games needs considered and well as rules governing DAGSA players vs. other town pick-up players. Draft rules proposals will be sent via email for board review and will be written into the Bylaws upon vote by the board at the January meeting.

6.     Slow Pitch – Discussion occurred about the U18 and U14 age groups joining with another league. West Shore and Suburban have not contacted Ron Baker with any information. Suburban has a U13 and U18 age groups. This would result in a redraft of the existing DAGSA U14 teams. It was decided to poll the parents and coaches of these age groups to get a public feel for joining another league or keeping things as status quo. An email will be sent to the affected coaches and they will be asked to contact their parents. It was also discussed about sending a special letter to parents of affected players and have an online survey created. Suburban team registrations are higher than the Perry league. This will not impact U10, t-ball, or fast pitch teams. A final decision will have to be made prior to the December parent letter. Communications will continue through email with the board.

7.     League Meeting – The next league meeting is on October 24th. Tammy Sheibley will be attending.

8.     New Board member request – Nancy Lucia submitted a letter requesting board membership. Nancy has been an assistant coach and head coach within DAGSA and has played softball for many years. Motion made by Jim Reed, seconded by Tammy Sheibley. Motion passed.

9.     Next Meeting- Sunday, October 17th at 6:30.
